E&E ATHLETICS TERMS & CONDITIONS
These terms apply to E&E Athletics tournaments, open runs, and other organized sporting events. Players, team captains, coaches, and spectators must follow the applicable event rules, conduct requirements, and facility policies.
PART 1: EVENT RULES & CONDUCT POLICY
1. Adult Participation & Waivers
All players must be 18 years of age or older.
Every player must complete the required individual participation waiver before playing, including at free events.
Team registration or payment by a captain does not replace each player’s waiver.
Identification may be required to verify age and registration.
2. Player, Captain & Coach Conduct
All participants must:
Follow the event’s posted rules and staff instructions.
Respect teammates, opponents, officials, spectators, and facility personnel.
Maintain emotional control and avoid confrontations.
Refrain from cheating, deliberate unsafe play, equipment abuse, and damage to the facility.
Wear appropriate athletic clothing and footwear.
Captains and coaches must communicate event requirements to their teams. Questions about rules or scoring should be raised calmly through the designated captain or coach at an appropriate break in play.
3. Spectator Conduct
Spectators are welcome subject to the event’s admission rules and facility capacity.
Spectators must:
Encourage participants respectfully.
Remain in designated spectator areas.
Keep playing surfaces, walkways, and exits clear.
Avoid interfering with play or confronting players, officials, or staff.
Follow all facility rules and instructions.
Disruptive spectators may be required to leave.
4. Alcohol, Smoking & Vaping
Players and spectators may not consume alcohol, smoke, or vape in event areas.
This rule applies throughout the event, including after a player has finished a game or completed participation for the day.
These activities must not interfere with or affect other attendees. All additional facility restrictions apply.
Anyone who appears impaired and presents a safety concern may be denied participation or required to leave. Violations may result in removal from the event.
5. Zero Tolerance for Serious Misconduct
The following conduct is prohibited:
Fighting or attempting to fight.
Threats, intimidation, or aggressive physical contact.
Discriminatory slurs or targeted harassment.
Abusive confrontations with officials, staff, participants, or spectators.
Intentional acts that endanger others.
Deliberate damage to equipment or facility property.
Serious misconduct may result in immediate ejection, removal from the venue, disqualification, suspension, or exclusion from future E&E Athletics events.
A warning is not required before removal for serious misconduct.
6. Registration, Check-In & Scheduling
Participants must follow the registration and check-in requirements published for their event.
Tournament players and teams must be checked in and ready at their scheduled game time. Late arrivals are subject to the event’s published grace period and forfeit rules. Late arrivals are not entitled to a delayed or rescheduled game.
Game lengths, scoring formats, time limits, tie procedures, and sport-specific penalties follow the applicable event rules.
Staff may adjust schedules, court assignments, or field assignments for safety, facility needs, or event operations.
For open runs: Advance registration, attendance limits, walk-up availability, game timing, and player rotation follow the published open-run rules. Walk-up participation depends on available space and completion of the required waiver.
7. Clothing, Uniforms & Equipment
Participants must wear appropriate athletic clothing and footwear.
Matching custom jerseys are required only when stated in the event details. Players must follow assigned team-color or identification requirements and bring both a light and a dark shirt when requested.
Sport-specific equipment and jewelry restrictions apply. Staff may require the removal or replacement of unsafe or prohibited items before participation.
8. Disciplinary Action
Staff will consider the seriousness of the conduct and any repeated violations.
Possible consequences include:
A warning for a minor violation.
Penalties authorized by the applicable sport rules.
Removal from a game or the remainder of the event.
Individual disqualification or suspension from future events.
Team penalties when misconduct involves multiple members, prevents safe play, or continues after staff intervention.
A warning does not guarantee another opportunity to participate.
Anyone directed to leave must do so promptly. Refusal may result in game stoppage, forfeiture where appropriate, and assistance from facility personnel, security, or law enforcement.
Refund eligibility following removal or disqualification is addressed below.
PART 2: CANCELLATION, RESCHEDULING & REFUND POLICY
9. Participant or Team Cancellations
For paid tournaments, a participant or team may request a full refund of registration fees paid to E&E Athletics by submitting a cancellation request at least seven calendar days before the tournament’s published start time.
Cancellation requests received less than seven calendar days before the tournament’s published start time are nonrefundable, except where required by law.
Registration fees are also nonrefundable if a participant or team arrives late, fails to attend, or forfeits a game, except where required by law.
Cancellation requests must be received by E&E Athletics through its designated email address or contact form. Please include the registrant’s name, tournament name, and, if applicable, team name.
Registration transfers or roster replacements require advance approval and must meet the event’s eligibility, roster, and waiver requirements. Approval is not guaranteed.
For free events, please cancel your registration promptly if you cannot attend so your space can be offered to another player.
Team registration refunds will be returned to the original payer, as explained in Section 15.
For other paid events, the cancellation deadline and refund terms will be stated in the event details before registration.
10. Cancellation by E&E Athletics
If E&E Athletics cancels an event before it begins—including because of insufficient registration, unavailable facilities, weather, or safety concerns—paid registrants will receive a full refund of the registration fees paid to E&E Athletics.
An event credit may be offered as an alternative, but accepting credit is optional.
11. Rescheduled Events
If an event is moved to a different date or location, registrations will remain valid for the replacement event.
Registrants who cannot attend may request a full registration refund within seven calendar days after the rescheduling notice, or before the replacement event begins, whichever occurs first.
If the replacement event begins within that seven-day period, refund requests submitted before its start will be accepted.
12. Weather, Facility Closures & Interrupted Events
E&E Athletics may delay, suspend, relocate, shorten, or cancel activities because of unsafe weather, facility closures, emergencies, or other conditions affecting safe operation.
If an event cannot begin, the cancellation or rescheduling provisions above apply.
If an event begins but cannot be completed, E&E Athletics will communicate whether the remaining activities will be rescheduled.
If the remaining activities cannot be rescheduled, a proportionate refund will be provided for the portion of the advertised playing opportunity that could not be delivered.
13. Schedule & Format Adjustments
Game times, opponents, courts, fields, and tournament formats may change for event operations. Routine adjustments do not automatically qualify for a refund.
If a change materially reduces the advertised playing opportunity, E&E Athletics will communicate the available replacement, credit, or refund options.
14. Misconduct & Disqualification
Removal, suspension, disqualification, or forfeiture resulting from misconduct, ineligible participation, or failure to follow event rules does not qualify the affected participant or team for a refund, except where required by law.
15. Refund Processing & Other Expenses
Approved refunds will be initiated within 10 business days and returned to the original payment method whenever possible. Additional processing time may be required by the payment provider.
Team registration refunds will be returned to the original payer. E&E Athletics does not distribute a team refund among individual players.
E&E Athletics does not reimburse travel, lodging, lost wages, or other personal expenses associated with attending an event, except where required by law.
